Last updated: October 11, 2026

1. Scope

This policy explains how BSA Troop 797 (“we”, “us”) handles personal information collected through bsatroop797.com (the “Site”). It should be read together with our Terms of Use.

2. Information We Collect

  • Parent and guardian details: name, email, phone, address and account credentials.
  • Scout details provided by parents: name, date of birth, school grade, Scouting membership information and emergency contacts.
  • Health and safety information: medical history, allergies, medications and insurance details submitted on health forms.
  • Applications and signatures: consent forms, electronic signatures and uploaded documents.
  • Payments: payment amounts and status. Card details are entered directly with Stripe and are not stored by us.
  • Technical data: IP address, browser type, session cookies and security logs.

3. Children’s Information

Accounts are created only by parents or legal guardians. We do not knowingly collect personal information directly from children under 13. Information about a Scout is provided by the parent, who may review, update or request deletion of it at any time.

4. How We Use Information

  • To process registrations, camp applications and payments.
  • To plan activities safely, including sharing health information with leaders and medical personnel when needed.
  • To communicate about events, announcements, schedule changes and account activity.
  • To meet Scouting America, council and chartered organization requirements.
  • To maintain security, prevent misuse and provide technical support.

5. How We Share Information

We do not sell personal information. We share it only as needed with:

  • Troop leaders and committee members who need it to run the program.
  • Scouting America, the local council and the chartered organization for registration and compliance.
  • Camp operators and medical providers when your Scout attends an activity or needs care.
  • Service providers that host the Site, send email, process payments (Stripe) and protect forms (Google reCAPTCHA), under their own privacy terms.
  • Authorities when required by law or to protect the safety of a Scout or others.

6. Photos and Media

Photos and videos from troop activities may appear on the Site and in troop communications as described in the Terms of Use. We do not pair a Scout’s full name with a photo. Contact us to request removal of an image.

7. Cookies and Analytics

We use essential cookies to keep you signed in and to protect forms. If analytics are enabled, we use Google Analytics to understand how the Site is used in aggregate. You can block cookies in your browser, but parts of the Site may not work without them.

8. Administrator Support Access

Authorized troop administrators may view the portal as you see it to troubleshoot problems. Every session is recorded in an audit log, and administrators cannot see your password or payment card details.

9. Security and Retention

We use reasonable administrative and technical safeguards, including encrypted connections and role-based access. No system is completely secure, and we cannot guarantee against breaches or unauthorized access caused by circumstances beyond our reasonable control, including third-party platforms. We keep records for as long as your family is active with the troop and as required for Scouting America, financial and safety record-keeping, after which they are deleted or anonymized.

10. Your Choices

  • Review and update your information from your profile at any time.
  • Request a copy or deletion of your family’s information, subject to records we must keep.
  • Opt out of non-essential emails by contacting us. Account and safety notices will still be sent.

11. Changes to This Policy

We may update this policy from time to time. The “Last updated” date shows when it last changed.
